We want to understand the challenges operators face, learn from the ways they work, and develop tools that strip back layers of complexity

Running a shared space can be incredibly rewarding. You get to build a community, bring people together, and create an environment where businesses, ideas, and creativity can thrive.

But behind every well-run coworking space, innovation hub, or creative studio is a great deal of work that most people never see.

We know this because we have been there ourselves.

SpaceOps was inspired by our experience trying to run a coworking space in our 20s. We had plenty of enthusiasm and ideas about what we wanted to build. What we did not fully appreciate was just how much it would take to keep the business running.

We bought bad furniture. We invested in fake solar batteries. We had our fair share of encounters with government officials. At one point, our roof even caved in.

Looking back, some of these experiences are almost funny. At the time, they were anything but.

Like many space operators, we found ourselves juggling responsibilities that had little to do with the reason we started in the first place. We were managing members, coordinating bookings, chasing payments, handling maintenance, marketing the business, and trying to make sense of the numbers, often all in the same day.

It was a steep learning curve, and it shaped the way we think about running a shared space.

More importantly, it inspired us to build something that could make the experience better for others.

The Work Behind Running a Shared Space

Whether you run a coworking space, an innovation hub, a creative studio, an event venue, or a shared office, the challenges are often remarkably similar.

There are members to look after, facilities to maintain, bookings to coordinate, and revenue to keep track of. As your business grows, these responsibilities become more demanding, and the systems that once worked can start to fall apart.

Many operators begin with tools they already know. WhatsApp handles conversations and bookings. Spreadsheets keep track of payments and memberships. Other tasks are managed through email, notebooks, or simply by keeping things in your head.

There is nothing wrong with starting this way. In fact, these tools can be perfectly adequate when you are just getting started.

The problem is what happens next.

As more people use your space, information becomes harder to organise. Bookings get lost in conversations. Payments are missed or difficult to reconcile. You have less visibility into how your facilities are being used, and understanding how the business is performing requires more time and effort than it should.

Before long, you are spending a significant part of your day managing the business instead of growing it.

And that comes at a cost. Not just in time, but potentially in missed revenue, underused facilities, and opportunities that slip through the cracks.

When the Tools You Started With Are No Longer Enough

One of our earliest customers was running their space almost entirely on WhatsApp and spreadsheets.

It was a familiar setup, and for a while, it worked. But as the business evolved, so did its operational demands.

The challenges were not unusual. They were the same ones we had encountered ourselves:

  • Poor space utilisation. Without a clear picture of how facilities were being used, it was harder to identify opportunities to make better use of available space.
  • Missed payments and lost revenue. Keeping track of what was owed, what had been paid, and what was outstanding became increasingly difficult.
  • Too much administrative work. Routine tasks took up time that could have been spent improving the customer experience or growing the business.
  • Limited visibility. Information was scattered across different tools, making it difficult to get a clear picture of what was happening.
  • Missed opportunities to grow revenue. Without a reliable overview of members, bookings, and usage, identifying opportunities to increase revenue became more challenging.

These problems are easy to overlook when you are busy keeping everything running. But over time, they can hold a business back.

We believe that running a shared space should not require operators to piece together their entire business from disconnected tools. The systems supporting the business should make it easier to operate, not create more work.

That belief is at the heart of SpaceOps.

Introducing SpaceOps

SpaceOps is the operating system for modern shared spaces. We built it to bring the essential parts of running a space into one platform, giving operators a more organised way to manage their day-to-day operations.

With SpaceOps, you can:

  • Manage members and keep membership information organised.
  • Coordinate bookings and make it easier to manage access to your facilities.
  • Track payments and maintain a clearer picture of the revenue coming into your business.
  • Monitor space usage to better understand how your facilities are being used.
  • Track performance and get greater visibility into your operations.
  • Manage multiple locations from one platform as your business expands.

The idea is straightforward: less time spent chasing information and handling repetitive administrative work, and more time focused on the things that move your business forward.

We also recognise that no two shared spaces operate in exactly the same way. A small coworking space has different needs from a busy event venue or an innovation hub with several locations. Our goal is to build a platform that supports these different realities while making the essentials of running a space simpler.

More Than Managing a Space

For us, this has never been just about replacing spreadsheets or putting existing processes online.

It is about giving space operators the time, information, and tools they need to run better businesses.

When you have a clearer picture of your bookings, payments, memberships, and space utilisation, you are better positioned to make informed decisions. You can spend less time trying to work out what is happening and more time deciding what to do next.

You can focus on building relationships with your members, improving your facilities, creating better experiences, and finding new ways to grow.

These are the things that make a shared space valuable in the first place. The administration is necessary, but it should not have to consume everything else.

We know there is no software that can prevent every operational headache. Sometimes the batteries really are fake, and sometimes the roof really does cave in. SpaceOps cannot fix everything that comes with running a physical space.

But we can help make the business behind it easier to manage.

Building Better Shared Spaces, Together

Our experience running a coworking space taught us a lot about what it takes to keep one going. It also showed us how much easier things could be with the right systems in place.

That experience continues to shape how we build SpaceOps. We want to understand the challenges operators face, learn from the ways they work, and develop tools that solve real problems rather than add another layer of complexity.

Whether you are running your first location or managing an established network of spaces, we believe you should have access to tools that help you operate with greater clarity and confidence.

If you are curious about what that could look like for your business, we would love to show you.
